Applying for Funding

Q  I have questions about my Grant Application – who should I talk to?
A  Our staff is in place to answer your questions and assist you with the Grant Application and grant process.  Please do not contact trustees.

What should be included in the Letter of Inquiry (LOI)?
A  See Grant Application Process.

Q  How does my organization apply for funding?
A  See Grant Application Process.  You must first submit a Letter of Inquiry.  Note:  If you are invited to submit a Grant Application, please wait to submit your materials until your entire Grant Application is completed.

Q  Can my organization submit our application materials via email or should they be mailed?
A  Once your Grant Application is complete, you may submit your materials via US mail to our address, or via email to info@magnajm.com.  If you choose to mail your Grant Application, remember to send the Grant Request Summary Form in WORD format via email to info@magnajm.com (also enclose a copy with your mailed Grant Application).  Note:  We do not accept LOIs or Grant Applications via FAX.

Q  Can one Grant Application from our organization contain requests for more than one project?
A  No, you are required to submit separate complete Grant Applications for each project if your organization is applying for more than one grant.

Q  We have a project that may suit your Funds. With whom should we speak?
A  First contact should be made by submitting a Letter of Inquiry to the Funds.  Our staff is in place to answer your questions and assist you with the application and grant process.

Q  How long does it take to review Letters of Inquiry (LOIs) and Grant Applications?
A  In most cases, LOIs will be responded to within one (1) month of receipt and grant applications will be responded to within two (2) months of receipt.  Although you may hear from staff informally (via telephone or email) about your LOI or Grant Application, you will also receive a formal written response.

Q  Will staff meet with grant seeking organizations?
A  If we require more information, we may request a meeting (either by phone or in person).

Q  What size grant may my organization apply for?
A  Requests should be relative to the budget of the organization applying for funding.  Generally, our Funds will not grant awards in excess of 10% of an organization’s annual operating budget.

Q  Will the Funds consider multi-year grants?
A  All grant requests are considered on a case-by-case basis.  Once a Letter of Inquiry is reviewed, staff will contact you regarding your request.  At this time, staff could give the organization feedback on whether a multi-year request is appropriate.

Q  When will the Funds review my Grant Application?
A  The Funds review Grant Applications and make Grant Awards throughout the year during scheduled board meetings.

After the Award

Q  Will the Funds renew grant requests?
A  All grant requests are considered on a case-by-case basis.  However, the Funds recommend that organizations continually seek other sources of funding for their programs and projects.  An organization should not expect future funding from the Funds based on prior grant support unless stipulated in the original Grant Agreement.

Q  My organization has been awarded a grant.  Who should sign the Grant Agreement?
A  As stated on the Grant Agreement, the professional and lay leader of the organization should sign the Grant Agreement where indicated.  The lay leader is the chairperson or highest ranking non-paid volunteer working alongside the executive (paid professional) of the organization.

Q  My organization has receieved a Grant Award Letter and Grant Agreement.  What happens next?
A  You should complete the Grant Agreement and return it to us per the instructions in the Grant Award Letter.  You should submit required reports to staff as outlined in your Grant Agreement – to learn more, you may download the Grant Report Form in Word format or PDF format.

Q  When will the distribution of funds be made?
A  Grant distributions are made in December of the year the grant is awarded.

Q  Our organization just received the Grant Distribution.  What is required?
A  A formal letter acknowledging receipt of the Grant Distribution is required (as described in the Grant Distribution Letter).

Q  When are Grant Reports due?
A  The Funds require interim "Progress Reports" for grants awarded in the amount of $10,000 or more.  If required, all interim “Progress Reports” are due exactly six (6) months from the date of the Grant Award as stated in the Award Letter and Grant Agreement.  If a "Final Report" is required, the deadline is at the conclusion of the grant period.
